Weld County Fair Board Minutes

September 9, 2024

The Meeting was called to order at 6:00 p.m. by President Aaron Helus in the Extension Office at Island Grove Regional Park, 525 North 15th Avenue, Greeley.

Members Present: Those present were Landon Cogburn, Isaia Aricayos, Levi Loveland, Tome Bledsoe, Bailey Naibauer and Aaron Helus. 

Ex-Officio/Staff Present: Hannah Swanbom, Cheryl Aragon, Kim Eastwood and Mikayla Gabel.

Special Guests:Craig Schmidt

Agenda: No Changes

Consent Agenda

MOTION to approve the consent Agenda by Tom Bledsoe, second by Isaia Aricayos; edit minutes as noted, motion passed

Special Guests/Requests:

  1. Commissioner Report - none at this time
  2. Royalty Update –looking for donations and sponsors for silent auction for Gala on October 4, 2024, looking for new hat sponsor for court

Old Business:

  1. Royalty Commitment Review – MOTION by Tom Bledsoe to accept and approve new commitment as submitted, second by Bailey Naibauer; motion passed. SOP’s will be forthcoming.
  2. Working Budget – over budget on a few categories, under budget in others; also waiting on a few sponsorship dollars to arrive

  3. Fair Coordinator Update – Board involvement with replacing Cheryl and changing job description, set meeting date 9/24/24, 6:30 p.m. Superintendent non-reappointment letter will be going out for two people. 7 record books not turned in, 4-H has MOU with FFA that members must be in good standing to show in both.

New Business:

  1. Committee Application – two applications received and will be forwarded to committees for review and recommendations
  2. Committee Terms/Evening - committees will review members and membership
  3. Verbal Agreement with City - use of space was limited for the time of Fair; no one
  4. Committee Reports (Board representation assignments drawn from hat annually)
    • Premier Exhibitor – Landon Cogburn –went well and doing well fundraising
    • Carcass Contest - Isaia Aricayos - awards coming up, everyone invited
    • All Around Showmanship - Aaron Helus - will need to check dog showmanship qualifications for State Fair
    • Drug Testing – Courtney Smith –nothing new to report
    • Education - Tom Bledsoe - has bill from Cam's Academy
    • Jr. Livestock Sale - Landon Cogburn - loadout went well, broke records
    • Security, Parking, and Risk Management –Levi Loveland - went well, Craig has concern with RV Spaces by bunkhouse and concrete barriers for parking and security on the side.
    • Royalty - Tom Bledsoe - new court will, need to review committee membership and SOP's for implementation; MOTION by Tom Bledsoe, second Landon Cogburn to look for new FFA representative to serve on Fair Board, motion passed.
    • Livestock/Animal Health – Bailey Naibauer –nothing to report at this time
  5. Will need to evaluate future judge selection and announcement process

Announcements/ General Discussion:

  1. Carcass Contest Awards: Thursday, September 12, 2024 at 7:00 p.m.
  2. Recognition Night: Tuesday, October 1, 2024 at 6:00 p.m.
  3. Royalty Coronation Gala: Friday, October 4, 2024 at 5:00 p.m.
  4. Next Meeting is Monday, October 7, 2024 at 6:00 p.m. in the Extension Office
